This release is a big one, centered on a rebuilt project workspace, a new drag-and-drop timelog calendar, and smarter notifications.

Projects & Tasks — major overhaul

One powerful task window

  • A single, consistent modal for creating and editing tasks — with Details, Subtasks, Dependencies, and Time logs tabs.

  • Every "+ Add task" button (top bar, project, phase) opens this same window, pre-filled with the right project and phase.

  • Type durations in shorthand ("2d", "1w", "4h") that stay in sync with the dates, edit subtasks inline (rename + due date), edit time logs inline, and see an overage indicator when logged hours pass the estimate.

  • Task Types — Milestone, Meeting, Payment, Deliverable, Installation, Site visit, Deadline — each with its own icon.

A cleaner, more capable Gantt

  • A single frozen header that stays pinned as you scroll, with the timeline staying perfectly aligned as you pan and zoom.

  • Redesigned bars (soft pastel pills), completed tasks fade back, and assignee avatars sit right on the bar.

  • Dependencies: drag from one task's edge to another to link them (Finish-to-Start and the other three types), with clean curved connectors and a Critical Path view. Turn on Lock dependencies and dependent tasks move live as you drag.

  • A full-height project accent line with nested per-phase lines, plus a thin phase bar spanning each phase's dates — so hierarchy reads at a glance.

  • Hover a task for a preview card; right-click for quick actions (status, tag, progress, start timer, duplicate, delete).

  • A Show menu to toggle every column (Assigned, Start, End, Est, Log, Days, Status, Priority, Tag, Time tracking, Client visibility, Comments, Attachments), plus weekends, Critical Path, Original Timeline, Products, and Subtasks.

  • Approved invoices with a due date appear as a "$" marker on the timeline; Payment tasks show a "$" badge.

  • Collapse a project and its phases compress into a tidy summary strip (in both Gantt and Portfolio).

  • One-click client-visibility toggle (show/hide a task from the client) right on the row.

Kanban

  • Rebuilt cards; organize swimlanes by Project/Status/Tag/Assignee/Due with columns set independently. Smooth single click-and-drag (no more "select first").

Filtering, importing & projects

  • A Filter panel on every view (status, assignee, due, priority, tag, phase, client-visibility, task type, attachments).

  • Import tasks from a spreadsheet with a column-mapping step; the downloadable template now includes all 12 fields with example rows.

  • Project Types (reusable phase sets that seed new projects), Duplicate a project as a template (clones phases/tasks/subtasks, re-anchored to a new start date), and Archive / unarchive projects.

Timelogs — new drag + drop on blocks view.

  • Drag a time block to another day or time to reschedule it — the date and time update automatically.

  • Click any empty slot to add a new entry, pre-filled with that day and time.

  • Faster editing with no page flashing.

Notifications — redesigned

  • A clean grid to control exactly how you're notified: turn each notification type on or off independently for each channel (Notification center, In-app popup, Email).

  • New types: "Assigned to a task" and "Task due soon" — with your own "notify me N days before it's due" setting.

[NEW] Public links + Link Management

  • A new Link Management page (under Management) to see, search, and void every public share link — now showing which project each points to.

  • Share links properly expire, with a friendly "please request a new link" message; and a redesigned "Create public link" flow (choose projects, views to share, recipients, and an expiry date).

Purchase Orders

  • Item images now render in PO PDFs — including images you upload directly to a line item.

  • The PO list now shows the project on each row, and creating a PO auto-fills the Ship-to address from the selected project.

Payments & Contacts

  • Invoices/estimates now charge in the document's own currency (fixed CAD showing as USD/EUR); "Connect with Stripe" wired to the proper flow.

  • Cleaner, compact Contacts & Vendors lists with portal status and click-a-row-to-open.

Walter (AI assistant)

  • Reads your documents (with vision) and proactively surfaces what needs attention (overdue shipments, outstanding balances).

  • Project summaries, brand-voice drafting, and Brand Standards — define your studio's standards and let Walter flag anything off-brand.

Under the hood

  • Catalog by-room/by-group schedules now cover the full filtered set (no longer cut off by the current page).

  • Stronger security (encrypted client-portal codes, login lockout) and many stability fixes so lists update instantly without full-page refreshes.

  • Fixed a bug where editing any part of products would “glitch” the page.

Meet Walter, your studio AI — now his own workspace

  • Walter has a dedicated home. A full chat experience (like a modern AI assistant) with a left rail for starting new chats and returning to past ones — your conversation history is saved.

  • Walter sees more of your business. He can now read your bills, expenses, retainers, payments, and project financials, on top of projects, estimates, invoices, products, tasks, and contacts — and he re-checks thoroughly before ever saying a record can't be found.

  • Walter acts on your email (coming soon! Still in development) When you're reading an email, Walter recognizes specific, applyable actions and lets you apply each one with a click:

    • Product status, lead time, and specs (dimensions, material, color, finish, pattern, product number)

    • All 8 procurement dates (ordered, shipped, delivered, installed, and more)

    • Tracking numbers and delivery/ship dates — as separate actions, no PO required

    • Detected pricing, offered as a review-only action that jumps you straight to the product's financials

    • Project notes and project tasks

  • Walter remembers. Once an action is applied, it's remembered across your whole studio — so a teammate opening the same email sees it's already done. Every apply also writes a note on the email, a note on the product, and a product changelog entry for a clean audit trail.

  • Feedback now lives neatly under Support.

Work In Progress — a major overhaul

Project Types (new)

  • Define your own project types, each with its own ordered list of phases and an estimated duration per phase.

  • New projects seed their phases from the type you pick — no more building the same phase list every time.

  • Phase lists are soft-locked on typed projects to keep them consistent, with an explicit "add one anyway" override.

  • When you add a new phase to a type, Workroom asks which existing projects should get it.

Gantt chart

  • Draw dependencies by dragging from one task's finish edge onto another.

  • Dependency lines are now drawn by relationship type (finish-to-start, start-to-start, etc.) with smooth curves, instead of one shared shape that made them all look alike.

  • Critical path is now clearly visible via a contrasting outline.

  • See the original timeline as a ghost bar to compare plan vs. actual.

  • Redesigned bars, inline assignee avatars, a "today" marker, right-click quick actions, and a hover preview card.

  • Edit start, end, and estimate right in the row — no need to open the task.

  • Move a task to another phase from the row; a Show menu lets you toggle optional columns (status, priority, comments, attachments) and subtasks, remembered per user.

Kanban

  • Rebuilt around fixed project swimlanes, with a "columns by" second axis.

  • Cards show a combined status + tag pill, comment and attachment counts, and a customizable "show on cards" menu.

  • Pinned-first lane order, per-lane collapse, and find-a-project.

Task tags (new)

  • Create and manage task tags in WIP settings.

  • Tag column in the table, tag selector in the task modal, tag pills on Kanban cards.

  • Group by tag and search by tag.

Portfolio & Table

  • Portfolio timeline auto-fits to your real project dates at every zoom, with a new day view and a tasks show/hide toggle.

  • Table view groups nested under project, keeps its custom sort in saved views, and adds a per-row timer button.

  • Phases with no tasks now appear instead of vanishing.

Contacts & Vendors — redesigned

  • Cleaner, more compact list views for both contacts and vendors, with brand-green row highlighting.

  • Contacts show client-portal status at a glance and a Projects count — click it to see and jump into each project.

  • Vendors show account number, primary rep, and a login-credentials shortcut.

  • Click any contact or vendor to open their full profile; quick edit and delete right on the row.

Projects

  • Archive projects you're done with — they move to an Archived tab and out of your pickers, and can be restored anytime.

  • Duplicate a project as a template — clones its phases, tasks, and subtasks, keeps the relative spacing between dates, and re-anchors the whole schedule to a new start date. Choose whether to keep assignees.

Imports

  • Task import now supports a rich template (assignee, start/end/duration, priority, estimated hours, status, tag), a column-mapping screen so your own spreadsheet layout works, and resolves assignees, statuses, and tags by name.

  • Timelog CSV import accepts common spreadsheet date formats and now shows clear errors instead of silently importing nothing.

Payments & Billing

  • Invoices and estimates now charge in the project's currency (e.g. Canadian dollars) instead of defaulting to USD.

  • The payment screen shows the correct currency symbol and code consistently — no more "C$ … USD" mismatches — and the Cancel/Done buttons work as expected.

  • Fixed the "Connect Stripe" button, which previously led to a dead page.

Security & reliability

  • Client portal codes are now encrypted at rest, with login lockout after repeated failed attempts.

  • Changes now appear automatically across the app — contacts, vendors, projects, timelogs, and products refresh on save and when you return to the tab, so you rarely need to hit refresh.

  • Smarter duplicate-timelog protection, team pickers no longer list the workspace owner twice, and email open-tracking now works reliably.

Projects page — a full redesign

New views & organization

  • Three ways to view your projects: Cards, Map, and List — switch anytime from the header, and your choice is remembered per user.

  • Map view plots each project's location right on its card.

  • Group by Phase or Status to keep large project lists organized.

  • Search + filters and the view controls now live together in one tidy header row.

Project cards

  • Cards now show the actual project code you set (e.g. "PRJA"), your chosen project color, and real team-member photos.

  • Status and Phase pills are color-coded from your studio settings and stack cleanly so long labels stay readable.

  • Financial snapshot on each card: retainer usage, logged/unbilled time, and alerts.

  • Admins can customize the cards with a new gear menu — show or hide Status, Phase, Retainer, Timelog, Alerts, Address, and the quick-action icons. Changes apply to everyone in your studio and save automatically.

Quick actions on every project (card, list, or inside the project)

  • "+" menu creates an Estimate, Invoice, Bill, Change Order, Purchase Order, Expense, Retainer, or Time entry — pre-filled with that project and its client, landing on the right page.

  • Email opens your desktop mail app addressed to the selected contact.

  • Comms lists that project's channels and jumps straight into the one you pick.

  • Navigate menu opens any section of that specific project.

  • The project switcher now keeps you on the same tab when you switch projects (Overview → Overview).

Create / Edit Project modal

  • Cleaner single-column layout with consistent field sizes and a live tile preview.

  • Pick your tile identity — Color + Code, Photo, or Map — with an improved color picker.

  • Rooms & Phases you choose at creation now appear on the project Overview (after Scope).

  • Phase names are capped at 30 characters for consistency; longer legacy names are neatly truncated.

  • Added Select all / Deselect all for phases, clearer date labels (Start date / Deadline), and a matching, compact Add Client form.

Pins

  • Sidebar project pins are now personal to each user — pin what matters to you without affecting teammates.

Budget module

  • No more access code — the Budget module is open to everyone.

  • Added a beta banner so you know it's still being refined (and where to send feedback).

  • Categories tab now supports a Tile / List toggle, so category room-sections display as tiles just like the Products tab.

  • Removed the extra "Budget modes" button for a cleaner toolbar.

Finances & documents

  • Change Orders are now available per project — a dedicated tab under a project's Finances that shows only that project's change orders, plus create-new pre-scoped to the project.

  • Creating an Invoice, Estimate, or Purchase Order from a project now auto-selects the project and client.

  • PDF fixes: product images and attachments now reliably appear in Estimate/Invoice PDFs, and large Spec Package downloads now save correctly.

  • Retainer creation modal now opens with a proper dimmed background.

Fixes & smaller improvements

  • Contracts: resolved a stuck "Submitting…" state and fixed contract PDF downloads.

  • Payments: added an "Other" payment method and clearer retainer payment labels.

  • Company settings: fixed an intermittent error when changing your default currency.

  • Live Support button now reflects staffed hours (9am–4pm ET).

  • New flat processing-fee option in default fee settings (WorkPay minimum 3.25% + $0.30).

Introducing WorkPay — Get Paid Directly in Workroom

WorkPay is now available! Accept client payments right inside Workroom — no third-party processor account to juggle, no chasing checks. Money flows straight to your studio.

What you can do

  • Accept card & bank payments on your invoices with a Pay Now button your clients can use in the client portal.

  • Get paid on retainers, invoices, and deposits — payments apply automatically and keep each invoice's balance and status up to date.

  • One clear rate: a flat 3.25% + $0.30 per transaction. You can set your own fee at or above this — never below.

  • Payouts to your studio's account once your merchant profile is approved and active.

Getting set up

  1. Head to Settings → Company (or the Payments/Connections area).

  2. Click Connect WorkPay and complete the quick onboarding application.

  3. Once your account is approved and activated, the Pay Now option turns on automatically for your invoices.

Good to know

  • WorkPay works alongside Stripe — choose which processor powers your Pay Now button per your account.

  • Fees and your studio's default processing rate can be reviewed and adjusted in your default fee settings.

  • Your onboarding status is shown in Settings so you always know where your application stands (Submitted → Underwriting → Approved → Live).

Small little update this morning!

Improved

Default phases now reach existing projects When you add new default phases in Settings, they now show up on your existing projects automatically — including in the time-log phase picker — so you don't have to update each project by hand.

Budget audit: editable estimated hours In the FF&E-by-room audit you can now edit Estimated Hours inline (double-click), and Hours Variance shows logged hours minus estimated.

Products: search by vendor name When products are grouped by vendor, searching a vendor's name now matches correctly.

Dashboard The "Co-work" card is now Live Support, with a Join Waiting Room button.

Email Disconnecting a mailbox now clears its conversations, so you no longer see stale threads afterward.

Security Hardened public/embedded forms against abuse (clickjacking and spam submissions).

Fixed

  • Rooms & phases save reliably when creating or editing a project — and your saved rooms now display their names (they were briefly showing only a remove icon).

  • Dates no longer show a day early on estimates and invoices.

  • Currency symbols now render correctly on the main estimate/invoice/PO lists and when viewing a document.

New — Notifications system

A unified per-user notification system across three channels (email, in-app popup, notification center), with a Settings page to toggle each.

  • Real-time in-app toast + live bell refresh via a dedicated notifications socket.

  • Wired into: new leads, invoice paid, estimate signed, contract signed, timelog approval requests, chat, @mentions, form submissions, change-order approvals, and when a client first opens a contract to sign. (Chat is popup/center only — no email per message.)

Estimates & Invoices

  • Vendor on from-scratch line items — a type-ahead vendor field (add-new supported) so Purchase Orders can be generated from typed vendors (match-or-create).

  • Discount-before-tax reconciliation — the Fees panel (GST/PST rows) and section rollups now reconcile with the summary.

  • PDF tax-calculation basis fix — estimate and invoice PDFs now honor the studio's live "tax after discount" setting instead of a stale stored value (was taxing the pre-discount subtotal).

  • PDF export polish — embed fresh product images before capture, responsive terms font (fits one page), signatures move beside totals when the payment schedule is hidden.

Contracts

  • Selecting a contact auto-adds them as a signer; new Signers column on the list showing who's asked to sign, their status, and whether they opened the email.

  • Email deliverability fix — signer invites now send with a verified Reply-To instead of the designer's unauthenticated domain, so they reach external customers (matching how team invites land).

FF&E Schedule export

  • Sub-items now stay grouped under their parent item (group-by-room was scattering them), with a nesting accent.

Bug Squashing Update!

Estimates & Invoices — Canadian tax / discount / deposit accounting order

Fixed the core accounting order for both estimates and invoices (shared engine + backend, all surfaces: editor, PDF, and client view):

  • Discount is now applied before tax on the pre-tax subtotal (it was being computed on a tax-inflated amount, which over-discounted on CAD documents).

  • Tax calculates on the discounted net when the studio's Tax calculation basis is set to "After discount" (GST/PST now reconcile correctly on the PDF and client view, which previously ignored the setting).

  • Deposit is now a % of the grand total (net + tax + freight), not the pre-discount subtotal.

  • ⚠️ Action required: this needs the "After discount" Finance Setting turned on per studio, and existing documents re-saved to pick up the new basis.

Estimates — conversions

  • A retainer no longer blocks converting an estimate to an invoice (retainers are invoices under the hood and were wrongly counted as "already invoiced").

  • New Estimate → Purchase Order conversion — you can now go straight from an estimate to POs (grouped by vendor) without creating an invoice first. New "Convert to Purchase Order" action in the estimate list.

Estimates & Invoices — save fix

  • Blank products no longer fail to save. A manually-added product with no unit was silently failing the entire save (the schema required a unit). Unit is now optional, and save errors now surface a clear message instead of failing silently.

Retainers

  • "Link to…" now works (was a "coming soon" stub) — retainers can be linked to POs / Invoices / Estimates.

  • In the link picker, Retainers are now a separate tab from Invoices everywhere (estimate/invoice/PO → Link to…), instead of being mixed into the invoice list.

Purchase Orders

  • The title and tag now show on the PO list (above the PO#, like invoices/estimates). The list query was stripping both fields in a final projection.

Catalog

  • [NEW] Duplicate Product now asks whether to also copy the product's sub-items (only when the product has sub-items) — toggle on to bring them along, off to duplicate just the product.

Work-In-Progress — phases, tasks, and views

  • Add phases & tasks from every view — one shared dialog across Table, Gantt, and Portfolio. Phases now come from your Settings default phases (no more free-typed names that drift out of reports), and their colors carry everywhere.

  • Delete a phase safely — deleting from Gantt or Portfolio now asks where to move its tasks, so tasks can't be orphaned into invisibility.

  • Inline subtasks & date editing — add a subtask from a quiet + on the task in Table and Gantt; edit start/due dates right in the Table.

  • Utilization: Reallocate — rebalance an over-utilized person by reassigning their tasks, or split one task's hours across several people.

  • Public project share links — share a live view of a project's WIP with a link, now from the standalone WIP page too.

  • Kanban & saved views — cards show subtasks (with checkboxes) and descriptions; a designed "Save view" dialog replaces the browser prompt; pin a default landing view; destructive actions confirm first.

  • Fixed — KPI tiles that always showed zero now count correctly; date-column sorting no longer scatters blank rows; task import respects your project + phase columns and stops importing invisible phase-less rows; and two white-page bugs (onboarding budget link, project contract PDF) are gone.

Estimates & Invoices

  • Copy client link — a new list action copies the client-view link straight to your clipboard.

  • Create from a project, pre-filled — starting an estimate or invoice from a project now auto-selects both the project and the client.

  • The whole document recalculates — change an item's price and the fees, deposit, and freight update live instead of showing a stale snapshot. "$" fee amounts are now genuinely fixed (they used to quietly rescale).

  • Canadian tax, properly — multi-bracket GST/HST/PST/QST per item, a "tax before or after discount" setting, and a per-item "No tax (exempt)" option so you can tax some items and not others. Discounts now show as a negative line.

  • Document approval workflow — submit for approval, approve, or request revisions, with sending gated until approved, across Estimates, Invoices, POs, and Change Orders. Status and quick actions appear in the list.

  • Cleaner finance settings — split into dedicated pages for Estimates, Invoices, and Purchase Orders, plus a Shared Defaults page.

Reliability & data integrity

Mostly invisible, and the most important work in this release.

  • Saves that looked successful but weren't — a broad, database-verified sweep found writes that silently failed without being undone, writes that never worked at all, and failures reported back as success. Every fix was verified against live data, not assumed.

  • Actions that quietly did nothing — cancelling a team-member invitation, deleting/restoring a vendor payment schedule, "Reset budget data," and favoriting a project were each matching the wrong record and silently failing. All corrected.

  • New members who couldn't log in — a recurring case where a newly-created member had no working password is resolved.

Products

  • "Products don't save / they revert on their own" — root-caused and fixed. A weak connection was the trigger, not the cause: an edit looked saved on screen but never reached the server, then vanished on the next refresh. You now get a clear message instead of silence.

  • A weak connection no longer costs you work — if a save can't get through, your change is held on your device and sent automatically the moment your connection returns (even after a refresh or a closed tab), with a small indicator showing when something's still saving.

Timelogs

  • New Blocks (calendar) view — see your time on a day-grid, switch between List and Blocks, and set your default. Overlapping entries lay out more clearly.

  • Start/end logging & settings — log time with explicit start and end times, with new Timelog settings.

Permissions & access

  • Approval permissions — new "can approve" and "requires approval" controls for Estimates, Invoices, POs, and Change Orders.

  • Email permission set (Coming) — a dedicated Email permission group, including the ability to turn Walter's AI features off for a given set.

  • Leads as a premium add-on — gated cleanly as a premium add-on (the temporary PIN gate is gone); premium menu items show correctly based on entitlement.

More improvements & fixes

  • Vendor search now covers name, email, phone, manufacturer, account number and address — case-insensitive, across all pages — instead of only matching the start of a name.

  • Harvest import — collapse several Harvest projects or tasks onto a single Workroom target.

Sales Pipeline — New Premium Add-on

People → Leads

Turn inquiries into signed projects without leaving Workroom. A visual board moves prospects from first contact to won, with an activity timeline, AI insights, and automations that draft the contract for you.

  • Visual pipeline board — drag leads across stages, or work them as a list.

  • Stage automations — trigger next-step tasks and auto-draft contracts as deals advance.

  • Lead scoring & risk — a health read on every deal, plus a Walter AI summary and risk assessment.

  • Forms → Lead intake — public inquiry forms drop straight onto the board, mapped to fields.

  • Mark as Won → Project — converts a lead into a project, assigning the contact and carrying data over.

  • Documents & uploads — a card grid with image previews, per-file notes, and click-to-zoom lightbox.

  • Forecast & export — a pipeline dashboard, project-value forecasting, and one-click CSV export.

  • Archive workflow — archive or delete leads from the board or list, with a dedicated Archive view.

Work In Progress — Completely Rebuilt

Work In Progress is now a full project-management surface — five connected views over one engine, so a change in one place shows up everywhere.

  • Editable Table view — inline status, priority, phase, and assignee; Asana-style add-task rows; multi-select bulk edits.

  • Kanban cards — now show the task description and up to five subtasks you can check off in place.

  • Gantt chart — progress fill, milestones, phase lanes, drag-to-reschedule, and Day/Week/Month/Quarter zoom.

  • Dependencies & critical path — FS/SS/FF/SF links between tasks and products, with a critical-path highlight.

  • Baselines — snapshot a plan and compare planned vs. actual with ghost bars.

  • Portfolio / Forecast — a cross-project roadmap on a month scale, collapsible per person.

  • Utilization heatmap — members × weeks capacity planning, with over-allocation flags.

  • Reallocate & split — rebalance an overloaded person, or split one task's hours across several people.

  • Saved & default views — name and share view presets, and pin the one WIP opens to.

  • Phase colors & @mentions — color-code phases; @mention teammates in descriptions and comments.

  • Deliveries lane — product-arrival dates grouped by room/location on the timeline.

Estimates, Invoices & PDFs

  • Reconciling PDF totals — one clear breakdown where subtotal, freight, discount, tax, and fees add up to the grand total; invoices show Amount Paid & Balance Due.

  • PDF Default View Options — control which columns appear on exported estimate & invoice PDFs, in Settings → Finances.

  • Edit client view after approval — adjust what the client sees while line items stay locked.

  • Canadian tax accuracy — multi-bracket (GST/HST/PST) totals now match to the penny on save.

Contracts — New

  • Embed a PDF — attach a full PDF inside a built agreement, shown in the editor and signing view.

  • Auto retainer — a retainer payment on a contract now creates the general retainer for you.


Timelogs

  • Approval workflow — review and approve time before it bills, with a new Timelog Settings page.

  • Phase column — see and inline-edit a log's project and phase right from the list.

  • Inline hour edits — adjust hours and minutes without opening the entry.


Forms

  • Paid forms — charge to submit a public form with an inline Stripe Payment Element; priced and verified server-side.

  • Lead intake — form submissions can create a lead on your pipeline board.

  • Cleaner published forms — removed hard-coded name/email fields and the top accent line; payment settings now save reliably.


Document Tags — New

  • Tag manager — create labeled, color-coded tags in Settings.

  • Titles & tags everywhere — add a title and tag when creating estimates, invoices, and purchase orders; both show on their lists.

  • Seen timestamps — the Seen column now stamps when a client opened the document.


Client Collaboration (Comms)

  • Clients see product pins (was a bug) — product dots and cards now render on the client portal Design Board.

Collect deposits and evergreen retainers, then watch them draw down as the work gets billed.

  • New — Automatic first-in-first-out drawdown as you bill, with an activity log showing exactly what each payment was applied to.

  • New — Studio (cross-project) and per-project retainer views, matching the invoice list you already know.

  • New — Client-facing view: clients see their balance and can pay via Stripe or WorkPay; payment lands as a credit automatically.

Bills & Expenses

Two connected modules that give you a real accounts-payable and spend workflow — with receipt scanning and QuickBooks sync built in.

  • NewBills: record vendor bills with line items, take partial payments, and draw from a retainer pool where it applies.

  • NewBill approvals: require sign-off before paying, notify approvers on submit, and keep a full audit trail.

  • New — Pay & sync: send a WorkPay payout right from the bill (with two-way status) and sync bills & payments to QuickBooks.

  • NewExpenses, rebuilt: a category-first add flow, firm-overhead vs. client-reimbursable types, bulk actions, and an Archive view.

  • New — Receipt reading (Walter): drop in an image, PDF, or HEIC receipt and the vendor, amount, and date are filled in for you.

  • New — Connected spend: link an expense to an invoice service line or a purchase order, track actual PO cost, and push expenses to QuickBooks.

Estimates & Invoices

More control over how you price and present work — and fewer surprises.

  • ImprovedService tax is now a percentage — service line taxes were a flat dollar amount; they now work as a rate, just like products.

  • ImprovedCanadian tax parity — on CAD accounts, services use the same named tax-code dropdown as products, and service tax is included in the per-component breakdown so totals reconcile to the penny.

  • Improved — Terms & conditions get their own pages in the estimate and invoice PDF, so long copy never pushes signatures off the page.

  • ImprovedSmarter draft autosave — Workroom only keeps a working draft when you've actually made unsaved changes. No more phantom "restore draft?" prompts when opening a saved document.

  • Fixed — Edits no longer get dropped silently on save — a reliability pass across estimates, invoices, and POs. Blank rows can be saved, and a rare estimate-loading loop is gone.

  • Fixed — PDF images restored on production exports, and multi-page attachments now preview as clean page images.


Comms & the client portal

Small touches that make client conversations clearer on both sides.

  • New — Read receipts — see "Seen by …" on your messages.

  • New — Real-time unread badge on the Comms sidebar item, in Workroom green. Comms now opens on Home rather than the first channel.

  • Improved — Client product selections stay organized — the portal shows products grouped exactly the way you arranged them; clients don't need to group anything themselves.

  • Improved — Cleaner client side — @-mentions and tagging are turned off in the client portal, so clients get a simpler message box.

  • Improved — The project activity feed now logs client-side events — invoice, estimate, and PO views, and messages.


Budget & projects (Still in development, not released in this update)

A deeper budgeting toolkit and a project workspace that's faster to move around.

  • New — Design Fee schedule: build and rebuild fee schedules, with KPI tiles and a Retainers card on the Design Fee tab.

  • New — Budget Products tab: a room-tile grid with status buckets, inline room expansion, category tabs, linked-document chips, and a tile/list toggle.

  • Improved — Create-project modal, redesigned into a clean four-row layout (Identity / People / Address / Admin) with a searchable location-code room picker.

  • Improved — Project workspace navigation — the left project menu is now a slim top navigation with a sticky project header that travels with you across every sub-page.


Pro accounts, Directory & Leads

New surfaces for trade professionals, and a pipeline for the leads they bring in.

  • New — Pro account type with a public "My Listing" profile, reviews, and services offered.

  • New — Dual-account workspace switcher — designers with a linked Pro listing can flip between Studio and Pro modes on one login.

  • New — Leads module — a Contacted / Won / Lost pipeline that auto-opens a Comms conversation when someone submits your contact form.

  • Improved — Pro Directory — working filters (Procurement category, Verified), real contact emails, and wired-up reviews.


Getting around Workroom

  • Improved — Reorganized sidebar with clear section groups (Studio, People, Projects, Management, Finance, Content, Reports), a "Business" group for Documents, Forms, Contracts & Calculators, and up to five pinned projects.

  • Improved — A slimmer rail — the sidebar is about 25% narrower, giving your work more room.

  • Improved — One consistent finance layout — Invoices, Estimates, Bills, Expenses, Retainers, and Purchase Orders now share the same header, filter bar, and KPI strip.

  • Improved — Pagination moved into the filter bar on Purchase Orders, Expenses, Bills, and Retainers (next to the result count instead of at the bottom of the table). Bulk actions moved into the filter bar too.


Recap, settings & admin

  • NewRecap digests: a new Company Settings module that emails a daily or weekly activity summary, with separate admin (studio-wide) and client (per-project) versions. Sections are collapsible and off by default until you switch them on.

  • Improved — Premium marketplace moved to a single Premium bundle subscription instead of per-app billing, with a redesigned locked panel.

  • Improved — Permissions — new Forms and Contracts permission groups, and the ability to hide whole modules from the menu per permission set.

  • Improved — Tax report now pulls live invoices with dynamic filters; subscription/billing links point to your billing portal.


Polish & fixes

  • Fixed — Special characters render correctly everywhere — the stray symbols on the paid-invoice receipt, form measurements, and PDF exports are gone; multiplication signs (×), middots (·), and section marks (§) display properly again.

  • Fixed — Save reliability across Finance — retainers, product settings, payments, and credits all persist correctly; a class of "save looked like it worked but didn't" bugs was closed out.

  • Fixed — Signup hygiene — expanded the disposable / freemail domain blocklist to keep junk accounts out.

  • Improved — Product Clipper imports now bring product totals and profit across correctly, with a one-time backfill for anything imported earlier.


A note for Canadian & service-heavy studios: because service tax changed from a flat amount to a percentage, any existing service line that had a flat tax will show 0% until you re-enter the rate. It's a one-time step per open document.

A heavy release week — major Estimate Payments rollout, brand-new Project Codes, the Deposits report split out as its own page, drag-and-drop on documents, and a long list of polish + fixes. Highlights below.


Major new features

Take deposits and payments on estimates

A complete end-to-end estimate-payments lifecycle. Clients can now pay directly from the estimate (no waiting for an invoice), and the held amount automatically applies to the invoice when the estimate converts.

  • New "Allow estimate payments" setting per studio

  • Stripe + WorkPay both wired, and ready to go.

  • Client view shows the deposit / pay-now CTA when enabled

  • Refund flow with optional convert-to-credit, plus a banner on the related invoice if the client has credit available

  • Conversion handling: held deposits stay tagged as deposits when an estimate becomes an invoice, then flip to revenue the moment the invoice is fully paid

  • Invoice PDF auto-flips header to "PAID · RECEIPT" when fully paid

Deposits Report — its own report

Pulled out of the general reports and given a dedicated page with KPI cards, filters, and a per-estimate list.

  • Status filters: All / Held / Applied / Refunded

  • New Aged Deposits view (highlights stale unapplied money)

  • Project + Invoice columns linked through to the source documents

  • Send Report by email + Export to CSV (same workflow as the other reports)

Project Codes

  • New 4-character project code on every project (auto-suggested, editable)

  • Optional document numbering toggle: turn it on and your invoices, estimates, and POs become INV-FL24-001, EST-FL24-007, PO-FL24-014 instead of plain sequential numbers

  • Project code appears on the project tile and in the new project switcher

Project switcher (in every project page)

  • Click the project name in the left sidebar from any sub-page (Documents, Tasks, Timelogs, anywhere)

  • Search box + alphabetical list of every active project

  • Pick one — page jumps directly there. No bouncing back to the projects list

Group + drag-and-drop on Estimates and Invoices

  • New Group by Room / Category dropdown above the line items

  • Drag items between sections AND within sections to reorder

  • Groupings move with the items so reorder doesn't reshuffle the structure

  • Add Project modal: backdrop blur removed (snappier), modal portal'd properly so it sits above everything

  • Add Client modal: now centers correctly (was slipping behind the Add Project panel)

File uploads

  • Clipper / extension upload limit raised to 25 MB (no more 413 errors)

Contracts

  • Send-time client-required guard dropped for non-retainer contracts (the contracts you don't need a signature on actually send now)

  • Urbanist font added to the contract font picker


🐛 Fixes

  • PDF download from action menu no longer white-screens — was caused by attachment filenames with % characters in their URL. Fixed across Estimate, Invoice, and Purchase Order PDF exports.

  • Manual record-payment on estimate now routes correctly (was misfiring into the PO branch)

  • Estimate payment double-signature prevented

  • Allow Estimate Payments toggle now actually persists when saved

  • Refresh-resets-tab fixed across Settings / Projects / Contacts / FF&E / QuickBooks (your active tab survives a hard refresh)

  • Project save no longer fails on the projectNumber field

  • Stripe estimate-checkout now correctly reads deposits from additionalDetails

  • Room placeholders silently dropping items on save → fixed

  • Orphaned room placeholders repaired automatically + a banner surfaces if any exist on your account

  • Product title save moved out of the transaction (fixes a save failure under heavy edit loads)


🔒 Behind-the-scenes

A complete rebuild of the Design Fee Schedule inside the Budget module is in progress — 5 phases shipped over the past two days. The new schedule introduces:

  • 4 clean billing-type cards (Flat / Hourly / Cost plus % / Per sqft) replacing the prior 6

  • Estimated Rate + Estimated Hours on every group as a planning ceiling

  • Cap hours toggle with amber / red warning flags at 80% and 100% of cap

  • Multi-room per-sqft with per-room rates

  • Designer cost-plus basis selector (cost only vs cost + freight + tax)

  • 3-level accordion — group → phases → service types — with margin and hour rollups at every level

  • Real Invoiced / Paid / Outstanding joined from actual invoices via a per-line tag

  • Margin $ / Margin % columns (gated by permission)

  • Misc section that auto-surfaces any manual invoice line items not tagged to a billing group

  • Internal-only columns now permission-gated via the new viewInternalFees toggle in Permission Sets
